Other Software Packages

Should you already have a software program in place and are not ready to utilise Clubware we can offer you access to receive electronic reports on a weekly basis.
Every Monday Debitsuccess supplies those facilities that request it with information that you can then use to electronically update their own computer system. This is not necessary for facilities using Clubware. The information is supplied by email and is correct at the time it is produced remembering that Debitsuccess operate a virtual system that is constantly being updated.

The data consists of 3 files that are simple comma and quotation mark delimited text files. You can view these files by opening them using Windows Notepad facility and looking at the data. If you are not sure about the end result you are seeing in your own software package you should in the first instance open the files from Debitsuccess to ascertain if the problem is with the data from Debitsuccess or something which has gone wrong in your own system.

The 3 files are called Bal4gym.dat, File4gym.dat and Tran4gym.dat.
Bal4gym has the format Facility Name, Facility Identifier, Customer Name, Debitsuccess reference number, Amount the customer has paid to date, Amount due by the customer and Date of next debit. If there is a difference between the amount due and amount paid the customer is either overdue or has paid in advance. There will be a line for each current customer in this file.

File4Gym contains text information about customers whose accounts have been closed and the reason for this. Overdue customer information is also included here including the last reversal reason, if any. Closed information is relevant for customers who have closed in the last 3 months.
Tran4gym details every transaction since the last file was produced. A receipt is money collected for you and an invoice is a reversal.

Once Debitsuccess have supplied you with this information it is your responsibility to get it into your system. Most modern systems will have text importing facilities that will be able to this with a minimum of fuss.
